Changing Guarantee/Payment/Cancellation Policy

In WebBookingPro we define "Standard Guarantee/Payment/Cancellation" Policy or Rate specific Payment/Guarantee/Cancellation policy.

First Standard Guarantee is shown on Booking Engine in second step and used when creating regular web reservations.

First create "Text" describing this policy. Usually this text contains info how you guarantee reservations. Example texts:

  • Prepayment in amount of 40% is required in the moment of reservation, balance by invoice after departure
  • Should you wish to modify or cancel a confirmed reservation, you can do it online, subject to the Cancellation policy.
  • Cancellation is free up to 7 days before checkin.

Please take note of our sales policy:

  • The final accounts settlement is due at check-out.
  • Prepayment of 30.00% is required 7 days before reservation, balance by invoice after departure
  • Should you wish to modify or cancel a confirmed reservation, you can do it online, subject to the Cancellation policy.

In case of cancellation 7 days before arrival full deposit will be returned.

This text has to be set in all available languages on your booking engine (e.g. English, Croatian, German, ...).

Go to Properties & Rooms from the left menu and choose Edit icon at the end of line.

Now, if you use Payment gateway for credit cards you have to define policy which amount will be charged imediatelly or in some period x days from creating reservation or x days before checkin. Amount can be

  • percentage of total reservation with minimum amount.
  • number of nights - total reservation is divided in number of nights and x nights is charged

Also part "Cancellation Policy" - here you can define number of days before checkin when guest can do free cancellation. If free cancellation is available for guest, he can initiate free cancellation by himself with link in email of reservation.

Be aware nonrefundable is always charged 100% immediately.

After making all changes, click on "Update" button.

If you have additional Rate plans (e.g. special rates) on Booking engine you can set specific cancellation policy and payment policy for those rates. Edit your custom Rate plan (from Rate Plans menu on the left) and set following fields.
